1. Who is the data controller?
Kilmain Express Plumber, of 47 Brookfield Road, Kilmainham, Dublin 8, D08 V2X4, Ireland, is the data controller for personal data collected through this website and through the booking and service of plumbing work. You can reach us on +353-1-524-8821 or at contact@kilmainexpressplumber.com.
Because of the size of our business we are not required to appoint a Data Protection Officer (DPO) under Article 37 GDPR. All data-protection queries are handled by the named principal at the address above.
2. What personal data we collect
- Contact data — your name, phone number, email address and the address of the property where work is requested.
- Job data — the make, model and serial number of your boiler, fault codes you describe, photos you send by email, notes our engineer takes on the tablet at the property.
- Payment data — invoice totals, payment method (card, bank transfer, cash). Card details themselves are processed by our payment provider Stripe and are never stored on our systems.
- Compliance data — records required by gas-safety regulation: copy of any Declaration of Conformance issued, RGI logs, gas pressure and flue analysis readings.
- Website data — IP address, browser, device, pages viewed (only if you accept analytics cookies — see the Cookie Policy).
3. Why we collect it
- To answer your enquiries and provide quotes
- To carry out the plumbing and gas work you book with us
- To meet statutory record-keeping obligations under Irish gas-safety regulation
- To invoice you and recover payment
- To handle warranty claims for twelve months after the work is done
- To send the occasional service-reminder email (if you have asked us to)
- To measure how the website is used and improve it
4. Lawful basis for processing
We rely on the following lawful bases under Article 6 GDPR:
- Contract (Art. 6(1)(b)) — to provide the service you have booked and to issue an invoice
- Legal obligation (Art. 6(1)(c)) — to keep gas-safety and tax records as required by Irish law
- Legitimate interests (Art. 6(1)(f)) — to operate the website, prevent fraud, and contact you about a job we are already engaged on. You can object to this processing at any time.
- Consent (Art. 6(1)(a)) — for optional analytics cookies and for service-reminder emails. You can withdraw consent at any time without affecting the lawfulness of earlier processing.
5. Who we share data with
We do not sell your personal data. We share limited data only with:
- Stripe (Stripe Payments Europe Ltd, Dublin) — to process card payments. Payment data is governed by Stripe's own privacy policy.
- Boiler manufacturers — your boiler serial number, the work carried out, and your name and address, to register manufacturer warranties on a new installation, where you have asked us to.
- SEAI — where you have applied for a Better Energy Homes grant through us, the minimum data required to complete the application.
- Our accountant and tax agent — invoice records, on a confidential basis, for our annual return.
- An authority — if we are legally compelled to disclose data by a court order, gas-safety investigation or a request from Revenue.
None of the recipients listed above transfer your data outside the European Economic Area in the normal course of providing their service to us.
6. How long we keep your data
- Enquiry-only data (you contacted us but didn't book): 12 months.
- Customer service records (job sheet, invoice, conformance cert): 7 years, to meet Irish tax record-keeping obligations.
- Gas-safety records (RGI logs, flue analysis): the longer of 7 years or the period required by the applicable RGI scheme.
- Marketing-list email address: until you unsubscribe.
- Website analytics: as set out in the Cookie Policy, typically 14 months or less.
7. Your rights under GDPR
You have the following rights regarding your personal data:
- Access — ask us for a copy of the personal data we hold about you.
- Rectification — correct anything that is wrong or incomplete.
- Erasure — ask us to delete data we no longer need to hold (subject to our legal retention obligations).
- Restriction — ask us to suspend processing in certain circumstances.
- Portability — receive a copy of data you have provided to us in a structured, machine-readable format.
- Objection — object to processing carried out on the basis of legitimate interests, or to direct marketing.
- Withdraw consent — where we rely on consent, you can withdraw it at any time.
